Expertise France is launching a tender for the rental of office printers to support its operational printing needs. The selected supplier shall provide a complete managed printing service, including printer rental, consumables, and maintenance.

Scope of Work

The supplier shall provide:

1. Printer Rental Options

Printer Categories and Required Quantities

Expertise France intends to rent office printers under a full-service maintenance arrangement. Bidders are required to submit offers for the following two printer categories:

1. Big Printer – high-capacity multifunction printer suitable for heavy office use;

2. Medium Printer – standard multifunction printer suitable for regular office use.

Bidders must provide a separate technical and financial offer for each printer category. Expertise France may decide to rent one or both categories depending on operational needs, technical compliance, price reasonableness, and the outcome of the evaluation process.2. Estimated Printing Volume

Expertise France estimates a minimum monthly printing volume of approximately 5,000 pages. This estimate is provided for pricing purposes only and does not constitute a guaranteed monthly volume.

Bidders must clearly indicate:

· the number of pages included in the monthly rental fee;

· the cost per additional page beyond the included monthly volume;

· whether the price is the same for all paper sizes or differs between A4 and A3;

· whether colour printing, if proposed, is included or priced separately;

· the proposed response time for technical support;

· the timeframe for providing a replacement printer if the issue cannot be resolved.

3. Full-Service Coverage

The monthly rental package must include:

· Printer equipment

· Toner cartridges

· Printing paper

· Preventive and corrective maintenance

· Replacement of spare parts

· Technical support and servicing

4. Maintenance & Support

The supplier shall ensure:

· Regular preventive maintenance

· Immediate corrective maintenance in case of breakdown

· Replacement of defective parts at no extra cost

· On-site support within agreed response time

Contract Duration

The contract shall be valid for two (2) years, subject to satisfactory performance and organizational requirements.
