AIR TICKET SUPPLY AND TRAVEL

MANAGEMENT SERVICES

The Mathiwos Wondu Foundation (MWF) invites eligible, qualified legally registered travel agencies for the provision of air ticket supply and travel management services for a period of two (2) years.

ELIGIBILITY CRITERIA

Bidders must submit copies of the following mandatory documents:

• Valid registered Trade License for the current Ethiopian Fiscal Year.
• VAT Registration Certificate.
• Valid Tax Clearance Certificate.
• International Air Transport Association (IATA) Membership Certificate.
• Evidence of at least three (3) years of relevant experience with NGOs or international organizations.
• Failure to submit any of the above documents will result in automatic disqualification.

COST OF BIDDING

• Bidders shall bear all costs associated with the preparation and submission of their bids.
• A non-refundable fee of Birr 100.00 is required for the purchase of this tender document.

SCOPE OF SERVICES & TECHNICAL REQUIREMENTS

The selected service provider shall be responsible for:

1. Booking and Ticketing: Provide domestic and international flight bookings using the most cost-effective and efficient routes.

2. Options: Provide alternative flight options per request, where available.

3. Emergency Support: Provide 24/7 service support for urgent bookings, cancellations, and ticket re-issuance.

4. Ticket Delivery: Ensure immediate electronic delivery (E-ticket) upon confirmation.

5. Refund Processing: Process refunds for unused or cancelled tickets promptly and efficiently.

6. Reporting Submit monthly reports including:

• Ticket sales summary.
• Travel expenditure.
• Outstanding balances..

BID SUBMISSION and OPENING

Bidders must submit their proposals in two separate sealed envelopes:

• Envelope A: Technical Proposal: All eligibility documents and Bid Security (CPO) of Birr 5,000.00/Five Thousand Birr).
• Envelope B: Financial Proposal: Completed financial form (service fees).
• The bid shall remain open for a period of ten (10) working days starting from the date of announcement.
• Both envelopes must be enclosed in one outer envelope clearly labeled: "Tender for Air
• Ticket Service - MWF".
• Late submissions will be rejected.
• The Foundation reserves the right to accept or reject any or all bids, in whole or in part, without incurring any obligation to bidders.
